Webinar FAQ

What is a webinar?
A webinar is an interactive web conferencing medium that is a blend of audio, video, synchronized slides, and Q&A sent over the Internet. Webinars allow you to access the content in real-time from your computer or mobile device.

What webinar platform does the IOD typically use?
The IOD typically uses Zoom.us for our webinars.

How interactive is a IOD webinar?
During webinars, you not only get to hear the speaker live in an interactive setting but are also allowed to ask/send questions. In some cases Q&A happens via voice and in other situations the webinar will use the chat feature.

I am unable to attend an IOD webinar. Is there a recording I can listen to?
Some of our webinars are recorded for dissemination and archival purposes. This however is done on a case by case basis. Please contact your webinar host to find out of a recording is available.

What happens after I register for an IOD webinar?
Once you have completed the registration process, if payment is required, registrants will process their payment online. After which, you will receive an email indicating a notification of payment. If you choose to pay by purchase order, you will need to send a copy of the PO to the IOD to complete payment arrangements.

One week prior to the webinar you will receive a confirmation email that includes instructions and access information (unique access link, login, and password) for joining the Webinar.

You will receive an email one business day prior to the webinar as a final reminder. This email will also contain the instructions and access information (unique access link, login, and password) for joining the webinar.

At what time should I log in for the webinar?
Please log in to the webinar about 10 minutes prior to start time. You will be able to check your audio and make sure you can see the slides. This will allow the webinar to start and end on time.

Group Participation Policy
Both the content and technology of webinars are designed to give each participant a positive individualized experience and the opportunity to interact with the presenter. Our webinars work best when an individual participant joins by computer audio and wears a headset. This is not a requirement for participation, but use of a headset helps to eliminate feedback and distortions. For these reasons, it may be difficult for multiple people to participate around one screen and have a satisfactory experience. Consequently, group participation is strongly discouraged.

Are webinars ever cancelled?
The IOD reserves the right to cancel or reschedule any webinar event due to insufficient registration numbers (fewer than five), or circumstances beyond its control. All registrants will be notified via email of the cancellation. Upon such cancellation, registrants are eligible for a full refund of registration fees.

The IOD will not be responsible for any penalties or other expenditure incurred due to the cancellation.

How secure is the webinar?
IOD webinars are powered by Zoom.us and are completely secure. Zoom.us provides end-to-end encryption using the Advanced Encryption Standard (AES) 256-bit algorithm.

What is needed for attending a webinar?
You will need a computer with a high-speed internet connection. To connect to the audio portion of the presentation you will either connect using your computer or you may call in by using the telephone. We strongly encourage you to view the minimum system requirements and join a test meeting in advance of the webinar.

How do I join a webinar?
You can join a webinar using a PC, Mac, or mobile device including most tablets and smartphones. You will receive two emails inviting you to join the webinar, one seven days prior to the event and one the day prior to the event. Please click your unique access link and enter the name and email exactly as you entered it during the registration process you will then join the session by selecting the “Join a Webinar” button.

What if I have problems connecting?
Please call Zoom at 1-888-799-9666

Can I view presentations in full-screen format?
Yes. There is an option to toggle between Full Screen and Window viewing.

What if I need help during the webinar?
Please send a chat message and communicate with the host who will be present to support you throughout the webinar and will help resolve the problem.

Can I ask questions during the webinar?
Yes, you can ask questions during the webinar— type your question into the chat at any time once the presentation begins.

Note: The speaker might provide an answer immediately, if it‘s related to the section that is being presented or the presenter might keep the questions to be explained in the Q&A section.

The IOD welcomes questions throughout the webinar and the presenter will do their best to answer either during the live event or during the Q&A session.

Why have I not received the email invitation with the link for the webinar?
Please check if the mail has landed in your spam/junk mail folder. If you still cannot find the email, please contact the webinar host by email.
